Who we are

WorkTraq is a field service management application used by companies to schedule jobs, manage clients and sites, and record work carried out on site. This policy explains what information the WorkTraq website and mobile app collect, why, and what we do with it.

Who controls your data

WorkTraq accounts belong to an employing organisation. That organisation decides who is invited, what work is recorded, and how long records are kept. WorkTraq processes this information on their behalf. If you are a worker using WorkTraq, your employer is the first point of contact for questions about your own records.

Information we collect

  • Account details — your name, email address, username, role and which organisation you belong to.
  • Work records — clients, sites, contacts, job types, job runs, checklists, notes and completion times entered by your organisation.
  • Photos and signatures — images and signatures captured against a job task.
  • Location data — your device position while you are signed in with location sharing enabled.
  • Technical data — basic device and log information needed to keep the service running and secure.

Location data

WorkTraq collects your position in the foreground and, on the mobile app, in the background while you are signed in as a field worker with location sharing enabled. It is used only to:

  • show your position to managers in your own organisation on the live map;
  • record arrival at and departure from a job site;
  • calculate time spent on site against a job.

Location data is never sold, never shared with advertisers, and is not used to track you across other apps or websites. Background collection stops when location sharing is off or you are signed out. You can revoke location permission at any time in your device settings, although some job tracking features will then not work.

Camera and photo library

The app requests camera and photo library access only so you can attach photos and signatures to a job task. Images are uploaded to your organisation's job records. We do not scan or browse your photo library.

How we use and share information

We use the information above to operate the service: to sign you in, show your jobs, record completed work, produce job and client reports, and send job report emails on behalf of your organisation.

Your records are visible only to members of your own organisation. We use a small number of trusted service providers to run the platform — secure cloud hosting and database services, mapping services for addresses and routes, and an email delivery provider for reports and notifications. We do not sell personal information.

Storage and security

Data is stored on secure cloud infrastructure, encrypted in transit and at rest. Access is restricted by organisation, so one company can never see another company's records.

Retention and deletion

Job and location records are retained for as long as your organisation needs them for its own operational and record-keeping purposes. To have an account removed, ask your organisation administrator, or email us at support@worktraq.co.uk and we will action the request with the account owner.

Your rights

Under UK data protection law you can ask for a copy of the personal information we hold about you, ask for it to be corrected or deleted, or object to how it is used. Contact your organisation administrator or email support@worktraq.co.uk.

Children

WorkTraq is a workplace tool and is not intended for use by anyone under 16.

Changes to this policy

If we change this policy we will update the date at the top of this page.
